Important Announcements

Egencia Booking Items

Effective on May 7, 2025 -- U.S. travelers must be REAL ID compliant to board domestic flights

  • Effective October 12, 2025 -- U.S. travelers visiting one of these European countries will need to register via the Entry/Exit System (EES)
  • Expected to start in Fall 2026 -- U.S. travelers visiting the EU will need to be pre-approved by the EU. Visit the official ETIAS website for more information.
  • Effective January 8, 2025 -- The UK is implementing a new Electronic Travel Authorization (ETA) program. Visit the official UK ETA website for more information.

Important Notes:

1. Basic economy is not available for purchase through Egencia.

2. Basic economy is cheaper because it is non-refundable and non-changeable, regardless of the reason for being unable to fly. For these reasons, it is highly recommended that you NOT purchase Basic Economy.

3. Effective May 7, 2025 -- U.S. travelers must be REAL ID compliant to board domestic flights.

Important Notes:

1. Conference lodging rates available -- Book lodging directly with the conference hotel or housing bureau.

2. Conference lodging rates unavailable -- Book lodging using Egencia or another provider.

3. View USI’s best practices when booking shared lodging (e.g., Airbnb).

Important Tips:

1. Avoid non-refundable lodging rates.

2. If check-in will be after 10 p.m. local hotel time, then contact the hotel to notify them so you won’t be identified as a “no-show."

3. Remember that cancellation times refer to the local hotel time and not Evansville time.

  • Book domestic train tickets using Egencia.
  • Book international train tickets using another provider.
  • Arrange out-of-state vehicle rentals (See section Vehicle Rentals for more info).
